This policy explains what CodeAlpha® LLC ("CodeAlpha", "we", "us") collects, why, and what you can do about it. It covers our websites and our AI phone receptionist service.
Mobile information and text messages
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors who provide support services — such as our telephony and messaging providers — is permitted solely so that we can deliver the messages you asked for. Text messaging opt-in data and consent records are never shared with any third party for any other purpose, and are never sold.
You opt in to text messages in one of two ways: by submitting the form at
codealpha.io/sms-opt-in and ticking the consent
box, or verbally during a call you placed to a business that uses our
service. We record that you agreed, when, and how. You can
withdraw consent at any time by replying STOP, which we honour

What we collect
If you call a business that uses our service:
- your phone number, and your name if you give it;
- what you said, as an audio recording and/or a written transcript, depending on that business's settings and applicable law;
- details of any appointment you book or message you leave;
- whether you agreed to receive text messages, and when.
If you are a business customer:
- your account and contact details, and those of your staff;
- your business configuration — services, hours, staff, pricing, and the questions you want answered;
- billing information, handled by our payment processor;
- credentials for systems you choose to connect, such as a calendar. These are encrypted.
If you visit our website: standard server logs, and anything you type into a contact form.
Why we collect it
- To answer calls, book appointments, and pass messages to the business.
- To send you the confirmations and reminders you agreed to.
- To let the business review what happened on their calls.
- To keep the service secure, diagnose faults, and bill our customers.
- To meet legal and regulatory obligations.
We do not sell personal information, and we do not use call recordings or transcripts to advertise to you.
Who we share it with
Only with service providers who help us run the service, and only as far as they need it to do that job. These include our telephony and messaging provider, our voice AI and language model providers, our cloud hosting provider, our payment processor, and any calendar system a business chooses to connect. They are bound to protect the information and may not use it for their own purposes.
The business you called can see the record of your call with them — that is the point of the service. We may also disclose information where the law requires it.
Automated calls and AI
Calls are answered by an automated assistant. It will confirm it is an AI if you ask, and you can ask for a person at any time. Audio and transcripts are processed by our AI providers to understand the call and to summarise it for the business afterwards.
How long we keep it
Call records, recordings, and transcripts are kept for as long as the business you called needs them and their retention settings allow, then deleted. Consent records are kept for as long as we may need to demonstrate that consent was given, which may be longer. Account and billing records are kept as long as required by law.
Security
Access is restricted, data is separated per business, connected credentials are encrypted at rest, and traffic is encrypted in transit. No system is perfectly secure, but we take this seriously and design for it.
Your choices
- Stop texts: reply
STOPto any message. - Ask for a person: say so on the call.
- Access or deletion: contact us and we will help. Where the information belongs to a business's records, we will pass your request to that business and support them in answering it.
Children
Our services are not directed at children under 13 and we do not knowingly collect their information.
Changes
We may update this policy. The "last updated" date above shows when.
